Application and acceptance
Applications and Visa or Mastercard payment are due by November 15, 2026 at stayner.ecmcamps.ca. Stayner Camp may review applications for fit, available space, safety, and product mix. Direct-sales brands will not be limited, so duplicate representatives may be accepted. Applicants will receive written confirmation.
Fee and space
$40 covers the full weekend and includes one vendor space with one table and one chair. Complimentary Wi-Fi is available without a password, and one electrical outlet may be requested. Vendors requiring electricity must provide their own extension cord (maximum one per vendor). Space is limited to 50 vendors across the Lodge and Fellowship Hall. Complimentary onsite parking is provided.
Attendance, setup, and teardown
Saturday participation is expected; Friday evening is optional. Friday unloading and check-in begin at 2:00 p.m., and booths must be ready with vendor vehicles moved to vendor parking by 5:00 p.m. Saturday vendor access and booth reset begin at 8:00 a.m. Teardown and vendor pack-out take place Saturday from 5:00–7:00 p.m. Vendors must use the front Lodge door for loading and unloading.
Display responsibility
Vendors are responsible for table coverings, signage, display materials, sales equipment, change, and payment processing. Displays must remain within the assigned space and aisles must remain clear. Only masking tape or removable Command Strips may be used on walls. Nails and all other adhesives are prohibited.
Products and conduct
Only products and services described in the application may be offered. Vendors must conduct themselves respectfully and, in a manner, appropriate for a family-friendly event hosted by a Christian camp. Applications from vendors offering occult paraphernalia, witchcraft resources or materials, tarot-reading services, mediumship services, or similar products or services will not be accepted.
Safety
Open flames, hazardous materials, blocked exits, overloaded electrical circuits, and unsafe displays are prohibited. Vendors using electricity must remain within the single-outlet allocation unless otherwise approved and must provide their own extension cord (maximum one per vendor). Alcohol is not permitted anywhere on the property.
Food and samples
Food vendors must provide the required permit from the Simcoe Muskoka District Health Unit and are responsible for safe food handling, allergen communication, insurance, and all applicable requirements.
Liability
Vendors are responsible for their own property, inventory, staff, and activities. Stayner Camp is not responsible for loss, theft, damage, or personal injury except where required by law. Have final waiver language reviewed before publication.
Cancellations and no-shows
All vendor fees are non-refundable. No refunds will be issued for vendor cancellations or no-shows. The event will proceed in inclement weather and will be cancelled only if roads into and out of Stayner are closed.
Promotion
Vendors are encouraged to share event promotions. Submitted business names, descriptions, logos, and product photos may be used in market advertising.
